What’s a practical way to organize model contacts, preferences, and releases?

I photograph people as a hobby and most of my communication with models is by email. I need a better way to keep track of things like contact details, preferences, release versions, paid vs. free shoots, referrals, follow-up reminders, and notes after a session. I’d also like to be able to search my records later to find models matching specific criteria for future ideas. What’s the best approach for managing this information: dedicated studio/CRM software, a spreadsheet or database, or a simpler note-taking system?

What you are looking for is studio management software. They can do what you described, but also much much more. They help with things like invoicing, calendar scheduling, relationship tracking, referral tracking, billing, etc.
The pieces that you outline only really fall under relationship tracking, so many of the full solutions might be overkill for you currently, but as you grow into the business already having your data available and in a system like this may benefit you and help you to grow faster/easier.
Some examples of this software include, but are not at all limited to:

A good fit for this is either:
-
Studio management / CRM software if you want a more complete system. These tools can track contacts, scheduling, referrals, invoices/billing, and relationship notes, so they’re well suited if your photography work is growing.
-
A spreadsheet or database if your needs are simpler. A spreadsheet is quick to set up for fields like email, rates, release status, preferences, and follow-up dates. A database is better if you expect lots of contacts and want more flexible forms, views, and filtering later.
-
A note-taking app if you prefer something informal. Keeping one note per model can work well for free-form notes, reminders, photos, and searchable details.
In short: use a spreadsheet or notes app for a lightweight solution, and move to studio/CRM software if you need scheduling, billing, and more structured client management.
